Otiya Safeguarding Policy
Version 1.0 · 14 October 2026
Helixus Ltd (Otiya) builds Otiya so that children can learn and play without being exposed to strangers, contact or harmful content. This policy explains how we do that and what happens if anyone raises a concern.
Who is responsible

The safeguarding lead completed safeguarding training in October 2026 and refreshes it at least every two years.
How Otiya is designed to keep children safe
- No pupil accounts. Pupils join with a code and a nickname. We never ask for their name, email, password, photo or location.
- No chat or contact. Pupils can't message each other or anyone else, and Otiya never contacts pupils.
- The adult runs the room. Only people with the game code can join. The teacher or host starts, moves on and ends the game, sees every player, can lock the room so nobody new can join, and can remove a player or change their name.
- Filtered words on screen. Nicknames, team names and answers shown on screen go through a filter that blocks offensive words.
- Adults only for accounts. Creating quizzes, hosting and using otiya AI need an account, which is only for people aged 18 and over.
- Private support. Pupils choose read aloud, more time or fewer choices on their own screen. Nobody else sees who chose what, and Otiya never records a diagnosis.
- Checked content for younger children. Every Otiya Kids question is checked for accuracy and age, with no religion, politics or frightening themes.
- No advertising to children. No ad tags on any route, and no selling or sharing of data.
- Play online is for adults. The public Play online area is for players aged 18 and over, with blocking and reporting built in.
Staff and volunteers
- Anyone who visits a school, runs a session with children or supports a school in person holds a current enhanced DBS check.
- Everyone working on Otiya reads this policy when they start, and again after each review.
- We review this policy every year, and whenever Keeping Children Safe in Education changes.
- Nobody from Otiya contacts a pupil directly, in person or online, outside a session run by the school.
- In schools, Otiya staff follow the school's own safeguarding procedures and visitor rules.
Raising a concern
Anyone (a teacher, parent, pupil or member of the public) can raise a concern about something on Otiya, such as an offensive nickname, inappropriate quiz content or anything that suggests a child may be at risk.
Email hello@otiya.xyz with "Safeguarding" in the subject.
What we do when a concern comes in
- Acknowledge within one working day, sooner if a child may be at risk.
- Act straight away if a child may be at immediate risk: we tell the person to contact the police on 999, and we contact the relevant school's designated safeguarding lead or the local authority children's services.
- Remove or restrict harmful content or accounts while we look into it.
- Pass on concerns about a pupil to the school's designated safeguarding lead, because the school is responsible for its pupils' welfare. We don't investigate concerns about a child ourselves.
- Record what was reported, what we did and when, kept securely and only shared with those who need to know.
- Learn from it, for example by adding words to the filter or changing a feature.
If a concern is about someone working on Otiya, it goes to the safeguarding lead. If it's about the safeguarding lead, please contact the Local Authority Designated Officer (LADO) for the area, or the school's designated safeguarding lead, directly.
Content standards
Quizzes made by users must not contain unlawful, hateful or sexually explicit content, or other people's personal information (Otiya terms of use). We remove content that breaks these rules and may close the account.
